Terms and Conditions for Training Services & Personal Consultations

  1. Enquiries for training are made by email and confirmed by both telephone and email. 

  2. Some organisations require a service level agreement and this is available on request.  Completed and signed and copies will be made available to the provider and kept with Epilepsy Matters Cymru (ensuring that copies are kept electronically on a secure computer in line with GDPR..

  3. The organisation requesting the training will be responsible for providing a suitable venue, with adequate facilities for comfort breaks, and sufficient space to host the numbers attending the session.

  4. The organisation requesting and receiving training will have their own public liability insurance and ensure that they have their own in-house protocols to monitor the standards adopted by their employees.

  5. Epilepsy Matters Cymru will not take any responsibility for practice adopted by the employees that may have been misinterpreted during the course. 

  6. Care staff and their employers will need to ensure that they maintain their own records for accessing up to date courses, in particular attending refresher courses at two-yearly intervals for those trained in the use of Buccal Midazolam.

  7. Epilepsy Matters Cymru reserve the right to alter or cancel dates if there are unforeseen circumstances and an alternative date will be agreed.

  8. If the organisation cancels the training 7 days before the training is due, they will be responsible for the full cost of the course and this will be paid within 14 days of the invoice date.

  9. Those who do not attend the full course will not receive a certificate of attendance.

  10. Employers and care staff trained in epilepsy and where necessary the use of Buccal Midazolam, will have a duty to ensure they liaise with the individuals Epilepsy Specialist Team. They will ensure that rescue medication plans have been written and signed by the relevant Consultant.

  11. It will be the responsibility of the care provider to ensure that they follow the instructions on the care plan. Epilepsy Matters Cymru, will not be responsible for assessing the care staff’s ability in interpreting the care plan or the administration of any rescue medication, after completion of the course. If there are concerns regarding individuals on the course not meeting standards for practice then they will be advised not to administer rescue medication.

  12. Payment for the course should be made within 14 days of the training being provided and on receipt of the invoice. Certificates of attendance will not be provided until payment is received.

  13. All certificates and additional information will be sent via email.

  14. The information provided remains the property of Epilepsy Matters Cymru and will not be used without permission.

  15. Enquiries for personal consultations may be made directly to Epilepsy Matters Cymru or via the individuals Consultant Neurologist, Epilepsy Specialist Nurse or GP.

  16. If a referral is made from the Consultant Neurologist, Epilepsy Specialist Nurse or GP the individual must be in agreement with the referral.

  17. A discussion with the individual requiring the consultation will be held over the telephone informing them of the process for an individual consultation. This will include the costs, time allowed and permission to share information with their respective specialist and GP.

  18. A convenient time and date will be provided for the consultation which will be either as a telephone contact, home visit or using other media for example MS Teams.

  19. Payment of the personal consultation will be made within 7 days of the consultation and on receipt of the invoice.

  20. Epilepsy Matters Cymru does not have access to an individual’s health records and therefore copies of previous correspondence may be requested to enable a comprehensive assessment of need to be identified.

  21. Any notes taken during the consultation will be written into a letter and if the individual is in agreement a copy will be sent to their specialist and/or GP (any electronic information will be held on a secure computer in line with GDPR.

  22. Epilepsy Matters Cymru is unable to adjust prescriptions or order investigations.

  23. Epilepsy Matters Cymru is responsible for reporting any significant concerns to the appropriate professional, to reduce the risk to the individual or others.
